Customer notes and new customers by message

The best moment to write down what a customer likes is right after the session, and that’s when your hands are busy. Send a voice note to the assistant instead, and it lands on the customer’s profile.

  1. Send what you want to remember, typed or as a voice note: Som likes firm pressure, allergic to lavender.

  2. The assistant finds the customer and shows the preview, Note on Som, with the note as it will be saved.

  3. Tap Confirm: “The note on Som is saved.”

A voice note is said back first, so you can check what was heard.
  • Voice notes can be up to 2 minutes. Only the words are kept, as the note: the recording itself isn’t stored.
  • A note can be up to 2,000 characters.
  • Not happy with the wording? Tap Edit and say it again.
  • Everyone on the team can add notes. Staff add notes to the customers they serve.

The note shows in the history on the customer’s page. For something everyone should see on every booking, like an allergy, use the pinned note on the customer’s page: see Customers.

Notes land in the customer's history, next to their bookings and loyalty.

Owners and managers can add a contact by message, with a phone or email if you have one:

You send The preview
Add Peter as a new contact New customer: Peter
New customer Som 081 234 5678 New customer: Som, Phone 081 234 5678
Add Mary, mary@example.com New customer: Mary, Email mary@example.com

Before it adds anyone, the assistant checks your customers for the same name, phone or email:

  • Maybe the same person: “There may be a customer like this already:”, a numbered list, a button for each match and A new customer. Tap the match and nothing new is made (“It’s the existing Som”); tap A new customer to go on.
  • The phone or email already belongs to someone: nobody new is added, and you’re told who it is.

After Confirm: “Peter is added as a customer.” You can now book him, give him a stamp or send him an offer by message.
