Resources, rooms and stays by the night
Some bookings need a place as well as a person: a treatment room, a tennis court, a kennel, a bed. In Tellfox these are Resources. A resource holds only so many bookings at once, and Tellfox never goes over that. Customers never see resource names: they’re assigned in the background.
If your services need no rooms, you don’t need this page at all.
Add a resource
Section titled “Add a resource”-
Go to Resources and tap + Add resource.

Enter the Name (and an English name if you like).

Set How many bookings at the same time: 1 for a single treatment room, 2 when two pets can share a kennel (up to 100).

Under Services that use it, tick the services that need this resource. A resource with no services isn’t used.

Save.
The list has Search resources, the tabs Active and Archived, and Cards or List view. Each card says, for example, Holds 2 bookings at once.
How resources and people work together
Section titled “How resources and people work together”A booking needs everything its service needs, at the same time:
- a free person from the service’s team (if it has one), and
- a free place in one of its resources (if it uses any).
A resource only ever limits: three rooms with one therapist is still one booking at a time, and two doctors sharing one room see one patient at a time.
Tellfox fills a resource that’s already in use before it opens another, so two pets share a kennel before a second kennel is used. You can change a booking’s room in its details with Move to room (see Move, cancel or mark a no-show).
A resource’s own hours
Section titled “A resource’s own hours”Normally a resource follows the business’s opening hours. Under Opening hours on its page, choose Own hours for a court that opens at 16:00 or a pitch that closes early on Sunday. Times are still offered only inside the business’s opening hours.
- One-off changes: a date with other hours, or Closed that day. Back to usual removes it.
- Out of use: for cleaning or repairs. Set From, Until and a Reason (optional), then Add a period. The resource isn’t used during that time.
If a change leaves confirmed bookings without a place, Tellfox lists them before you confirm. They aren’t moved or cancelled for you.
Stays booked by the night
Section titled “Stays booked by the night”For a pet hotel, a guesthouse room or anything booked by whole days:

On the service’s page, under Length and price, choose By the night (rooms, stays).

Set the Fewest nights and Most nights (1 to 90).

Enter the price per night. Tellfox multiplies it by the nights.

Link the rooms on each resource’s page, under Services that use it.
How a stay works:
- The customer picks the number of nights and a check-in day on a month calendar that only offers days when the whole stay fits.
- Check-in and check-out days must be open days. A stay runs from midnight of the check-in day to midnight of the check-out day.
- On your calendar, a stay shows on its check-in day, marked Check-in. Its details show Check-in, Check-out and the nights.
- Moving a stay keeps its number of nights and its room.
- The day-before reminder for a stay comes at 9:00 the day before check-in.
