Tables, areas and the floor plan
The Tables add-on is for restaurants, cafés and anywhere guests book a table. You set up your areas and tables, draw the floor plan, and Tellfox gives each party the free table that fits best. On the evening, Tonight shows every table by what it is doing.
Switch Tables on for a branch
Section titled “Switch Tables on for a branch”-
Go to Plan & add-ons and open the Add-ons tab (only an owner can buy it).
-
On the Tables add-on card, tap Add at (the branch name).
-
The branch shows Waiting for Stripe to confirm. This can take a few minutes. Once Stripe confirms, it shows On and an Open Tables link.
The rest of this period goes on your next invoice. Tap Remove at the branch to stop it: it works until the end of the period already paid, with no refund. After a move to a smaller plan, every table and area you have keeps working, but you can’t add more past the new numbers. Moving to the Free plan or cancelling the plan stops Tables at the end of the period already paid. Your areas, tables and floor plans are kept. See Your plan.
Tables has its own group in the menu: Tonight, Floor plan, Tables (with an Areas tab) and Table rules. It is separate from Resources, which stays as it is for rooms, courts and kennels.
1. Areas
Section titled “1. Areas”-
Go to Tables and open the Areas tab.
-
Add your areas, for example Indoor, Terrace and 2nd floor. Each area gets its own floor plan.
-
Use the arrows to put them in order.
An area that still has tables cannot be archived. Move or archive its tables first.
2. Tables
Section titled “2. Tables”-
On Tables, tap + New table. The name is filled in with the next number (T7).
-
Set the fewest seats and most seats. The table is given to parties of that many guests.
-
Pick a shape (round, square or long). It is suggested from the seats, and it is the table’s first drawing on the plan.
-
Choose an area if you like, and whether it is bookable online. Switch that off for tables kept for walk-ins or VIP; your team can still book them.
-
Tap Save, Save and add another, or Save and place on the plan.
To add many at once, open Add several tables: for example 10 round tables for 4 guests become T1 to T10. Change single tables afterwards. Seats are changed on the Tables page only.
3. The floor plan
Section titled “3. The floor plan”-
Go to Floor plan and pick an area tab.
-
Tables that are not drawn yet wait in Not on the plan yet. On a computer, drag one onto the plan. On a phone or iPad, tap it, then tap where it goes. Placing it on an area’s plan puts it in that area.
-
Tap a table to move it, resize it with the corner handles, turn it with the top handle or the Turn slider, or change its shape. Remove from plan sends it back to the list; it never deletes the table.
-
Add a few decorations so the plan reads as your room: room outline, entrance, bar, wall, label.
-
Tap Save plan.
Zoom with two fingers, the mouse wheel or the − and + buttons, drag the empty space to move around, and tap Fit to screen to see the whole room. Snap to grid keeps tables in line. Arrow keys move the chosen table, and Undo takes back the last change.
4. Booking by party size
Section titled “4. Booking by party size”Make one service, for example Table booking · 90 min, and switch on This service is a table booking on its page. Set the fewest and most guests online (1 to 8 by default) and, if you like, your own text for bigger groups.
On your booking page, guests choose How many guests? before the time. Only times with a table that fits are shown. Tellfox gives the party the table with the fewest seats that still fits, so a couple never takes your big round table while a table for two is free. A bigger party sees your text with your LINE and phone buttons.
Guests can also choose the occasion, ask for a high chair or a wheelchair-friendly table, and type special requests. An allergy typed there can be saved as the guest’s pinned note from the booking.
5. Table rules
Section titled “5. Table rules”On Table rules you can set:
- Area first by party size: for example parties of 5 or more go to the terrace first. A preference: when the terrace is full, another table is used.
- Tables kept back from online booking.
- Sitting length by party size, for example up to 4 guests 90 minutes, up to 8 guests 120 minutes, and the reset time between sittings.
- Guests may choose an area: the booking page offers “Inside / Terrace”. Guests never choose a table. Off by default.
- Deposit: guests who book a table online pay a deposit by PromptPay QR, straight into your account. Choose the amount per guest or per booking, for groups of a number of guests or more, and only on chosen days (none chosen means every day). It needs your PromptPay number in Settings → Payments. Bookings you add yourself and walk-ins never pay one.
A table booking with a deposit works like any other deposit: the table is held, the guest pays on the payment page, and you confirm the money arrived on the booking (it shows Deposit waiting on Tonight and in the bookings list). Unpaid within 2 hours (or by the start) and with no slip, the booking is cancelled. See Deposits for bookings.
6. Tonight
Section titled “6. Tonight”Tonight shows the plan coloured by what each table is doing: free, booked, not reconfirmed (a dashed line), seated, finished and overdue. Every colour also has a word, a ✓ shows a confirmed booking, and a cake marks a birthday. Move the time slider to see the evening ahead.
Tap a table to see the booking: the guest’s name, the party size, the time, the pinned note, visits and no-shows. Then mark the party Seated or Finished, Move the booking to a table that fits and is free, mark a No-show, or add +15 min. Tellfox never lengthens a sitting by itself: a table past its end time shows overdue for you to decide.
For a walk-in, tap the party size. Tellfox shows the best free table that won’t clash with a later booking (“free until 19:30”). Add a name and phone if you like (with a phone the visit counts for the stamp card) and tap Seat. With the Queue add-on too, a party with no table free gets a number with Give a queue number, and a waiting number under Queue is seated with one tap on Seat. See Queue, customers and loyalty.
Door staff can use the Front desk role, which sees only Tonight (and Live with the queue: see Front desk team). The page refreshes every few seconds, so two phones or iPads at the door stay in step.
